Update to Terms & Conditions 2026

If you’re reading this page, you probably followed a link from the Three Rings login page giving you written notice of some changes to our Terms and Conditions. We have changed and updated both the Terms and Conditions for Organisations, and the Terms and Conditions for Users of Three Rings, which is why you will have seen the notice of the changes, even if you are not an Admin at your organisation.

These changes update both the previous Terms and Conditions for Users, last updated in March 2019, and the previous Terms and Conditions for Organisations, last updated in October 2022.

These new terms and conditions will take effect from April 30th 2026, and if you are happy with the changes, you do not need to do anything.

For clarity, the changes we have made are primarily in relation to data protection legislation:

In particular, the updated Terms and Conditions include new references to both the Data (Use and Access) Act 2025 and the Online Safety Act 2023. The updates also include changes which help to clarify that all relevant data protection legislation applies: this is particularly relevant where previous versions of the Terms and Conditions made specific reference to the GDPR and the DPA 2018 but not to more recent acts like the DUAA 2025. Some changes have also been made to clarify that the minimum age for users of Three Rings is 18, or the age of majority in their jurisdiction, whichever is higher.

We have also made some changes to the notice period required for any pricing changes to take effect. These changes solely affect the notice period, and the updates to the Terms and Conditions do not affect our published pricing, or the current frequency of invoicing. This change comes in response to multiple requests from different organisations which have requested we investigate the possibility of issuing invoices on a monthly, rather than annual, basis in order to allow them to smooth their cashflow. To support this in the future, we are reducing the notice period for pricing changes from 3 months to 28 days, so that even the shortest possible month will be covered by our terms.

This is a reduction in the current notice period, but it’s necessary if we are to be able to fully support those organisations that are asking for monthly billing in the future. We hope that every organisating using using Three Rings will be reassured by the fact that, as a nonprofit organisation run entirely by volunteers, we continue to uphold our longstanding commitment to delivering the best and fairest pricing we possibly can.

Finally, we have added a provision into the Terms and Conditions for organisations allowing us to give notice of any future changes to the Terms and Conditions via the Three Rings system itself, in addition to the existing options for us to provide notice either by first class post or by emails such as this one.

For organisations: if your organisation is happy with these changes, you do not need to do anything. If your organisation objects to these changes to the terms and conditions, then you may cancel your Three Rings subscription by giving 28 days notice – although of course we hope you won’t!

For users: if you are happy with these changes (and over 18 / the age of majority where you live), you do not need to do anything. If you object to these changes (or are under 18, although there should already be no users under 18 on Three Rings), you will need to inform your organisation that you will no longer use Three Rings, although we cannot be responsible for any impact this may have on your ability to volunteer.
